Can I request extra time to meet the submission deadline?

Extensions may be granted depending on the research cycle. However, you must discuss this with the relevant researcher before the research begins. If you fail to meet submission deadlines or make prior arrangements, we cannot guarantee that your data will be considered.

What should I do if one of our referees says they haven’t been contacted?

If the Research Progress Tool indicates that a referee has been contacted but they cannot locate the email, please ask them to check their spam or junk folder. If the email is still missing, notify us, and we will resend the link.

What types of questions do you ask our patients/clients?

We ask about the specific service provided, their satisfaction with the service, the facilities, the individuals involved, and any complaints they may not have shared directly with you.

Is there any cost to participate in the research process?

No, participation in the research process is completely free.

How can I secure a ranking?

Providing us with a well-prepared submission showcasing your best work and a list of referees increase your chances of being ranked. However, rankings are based on a holistic evaluation that includes but is not limited to the following factors:

1. Peer perception of your institution.
2. Evidence of addressing shortcomings highlighted in previous research cycles.
3. The size and quality of your practice and staff.

Attempts to manipulate patient or peer feedback are strictly prohibited. Any such behaviour will result in sanctions, including the potential loss of your ranking.

What is your process for reaching out to referees?

We reach out to referees (patients and peers) via surveys. We are working on incorporating phone calls into the process in future cycles. Once a cycle is complete, all data is evaluated collectively.

Will you inform me about which referees have provided feedback?

No, we prioritise privacy and confidentiality. Whilst the Research Progress Tool does display the response rate of surveys (not the nature of the response though), we do not disclose whether a particular referee has participated in our research.

Can I encourage referees to contact researchers directly?

No, referees should not contact researchers directly. This disrupts the consistency of feedback and places unnecessary pressure on researchers, who must focus on evaluating surveys and conducting interviews.

How can I find out when it’s time to submit our materials?

All submission deadlines are listed on our main page under the “Submission Deadlines” section.

How do you ensure the confidentiality of information in our submission?

We adhere to strict data protection laws and internal rules to safeguard personal data and commercial secrets.

Our submission form includes “publishable” and “confidential” sections. Any information you do not wish to disclose publicly can be placed in the “confidential” section.

We do not discuss an organisation’s participation in our research or the lack thereof with third parties, nor do we disclose information from submission documents to third parties.
